1. Booking & Payment Policy


1.1 Booking Confirmation


  • A 25% deposit is required to confirm bookings made more than 30 days before tour start.
  • Full payment is required for bookings made within 30 days of departure.
  • Bookings are only confirmed upon receipt of payment and written confirmation from Three Elephants Travels.



1.2 Final Payment


  • The balance of 75% must be paid at least 30 days before the start of the tour.
  • Failure to pay on time may result in cancellation and loss of deposit.



1.3 Payment Methods


  • Bank transfer (local & international)
  • Credit/debit card via secure online payment link
  • Cash (if arranged in person)
  • All bank or card transaction fees must be borne by the client.

2.1 Cancellations by the Client

Full refund minus 5% admin fee

15–30 days

50% refund of total tour cost

7–14 days

25% refund of total tour cost

Less than 7 days / No-show

No refund

Note: Some services (e.g., train tickets, safaris) may be non-refundable once booked.



2.2 Cancellations by Three Elephants Travels


If we must cancel due to unforeseen events (e.g., natural disasters, political unrest), clients may choose:

  • A full refund
  • A credit for future travel
  • An alternative itinerary






3. Flight Arrangements


3.1 Client Responsibility


  • Clients must book their own international flights to/from Sri Lanka.
  • Flight details must be shared with Three Elephants Travels at least 30 days before arrival.



3.2 Assistance


  • Upon request, we can refer trusted flight booking agencies.
  • We are not liable for changes, cancellations, or issues related to third-party flight arrangements.






4. Travel Documents & Visa Requirements


4.1 Passport & Visa


  • Passports must be valid for at least 6 months from the date of entry into Sri Lanka.
  • Australian passport holders must apply for an Electronic Travel Authorization (ETA).
  • We recommend applying for the ETA at least 30 days in advance.

4.2 Other Nationalities


  • Non-Australian passport holders must check visa requirements with the nearest Sri Lankan embassy.



4.3 Responsibility


  • Travelers are responsible for obtaining their visa and ensuring their travel documents are in order.






5. Accommodation Policy


5.1 Hotel Categories Offered


We offer:

  • 3-star, 4-star, and 5-star hotels
  • Boutique hotels
  • Resort-style accommodations



5.2 Hotel Substitution


  • Hotels listed are subject to availability.
  • If unavailable, we will offer an equivalent or higher-rated hotel at no extra cost.



5.3 Room Types & Occupancy


  • Prices are based on twin/double-sharing.
  • Single, triple, or family rooms must be requested at booking and may incur additional charges.



5.4 Check-In & Check-Out


  • Check-in: 2:00 PM
  • Check-out: 11:00 AM
  • Early check-in/late check-out is subject to availability and may involve additional costs.



5.5 Inclusions & Policies


  • Daily breakfast is included unless stated otherwise.
  • Hotel policies on smoking, noise, and damage apply.
  • Guests are responsible for any damage caused to hotel property.






6. Children & Infant Policy


6.1 Age Categories


  • Infants (0–2 years): Free of charge (when sharing with parents, no separate bed)
  • Children (3–12 years):
      • With extra bed: 50% of adult rate
      • Without extra bed: 25% of adult rate
  • Adults (13+): Full adult rate



6.2 Activity Restrictions


  • Some activities (e.g., safaris, hikes) may have age restrictions for safety reasons.



6.3 Accommodation & Transport


  • Children may require their own bed; extra charges may apply.
  • Infants may travel on laps; child safety seats are recommended where possible.



6.4 Parental Responsibility


  • Parents are responsible for supervising and managing children during the tour.






7. Health, Safety & Insurance


7.1 Medical & Dietary Requirements


  • Clients must disclose any medical conditions or dietary needs at the time of booking.



7.2 Vaccinations


  • Travelers are advised to consult with their healthcare provider on required or recommended vaccinations.



7.3 Travel Insurance


Highly recommended. Should cover:

  • Trip cancellation/interruption
  • Medical emergencies
  • Evacuation
  • Baggage loss/damage
  • Delays due to natural events or strikes

Three Elephants Travels is not liable for losses due to lack of insurance.






8. Hotel Rules & Regulations


  • Standard hotel check-in time is 2:00 PM; check-out time is 11:00 AM.
  • Early check-in and late check-out are subject to hotel availability.
  • Cancellation terms apply to room reductions after the release period.
  • Hotel services, layouts, views, and facilities may differ by location or season.
  • Images used are for reference only.






9. Liability


  • Three Elephants Travels acts as an agent between clients and third-party providers (e.g., hotels, transport).
  • We are not liable for injury, loss, damage, or delays caused by third parties.
  • We are not responsible for disruptions due to natural disasters, political issues, or other force majeure events.






10. Code of Conduct


  • Travelers must respect local customs, laws, and fellow guests.
  • Disruptive or unsafe behavior may result in removal from the tour without refund.






11. Health & Fitness Requirements


  • Clients must ensure they are physically fit for their chosen tour.
  • Some itineraries involve walking, stairs, or long vehicle journeys.






12. Changes in Pricing


  • Prices may be affected by changes in:
    • Fuel surcharges
    • Local taxes
    • Exchange rates
    • Third-party costs (e.g., hotel or entry fee increases)
  • Final pricing is confirmed at the time of booking and payment.
